Step 1: Write a Clear Job Description
Before advertising, document exactly what you need: job title and reporting line, 5 to 8 key responsibilities, required qualifications and experience, salary range, location and travel requirements, and application deadline.

Step 3: The Interview Process
- First round: 20-minute phone screen โ confirm basic qualifications and genuine interest
- Second round: 45 to 60 minute structured interview with predetermined questions for all candidates
- Skills test: for technical roles โ a practical task relevant to the actual job
- Final round: meeting with senior management for shortlisted candidates
Step 4: Reference Checks
Always check at least two professional references by phone โ not email โ for more honest responses. Ask: Would you rehire this person? What were their strengths and weaknesses? Why did they leave?
Step 5: Employment Contract
Under Uganda's Employment Act, all employees must receive a written statement of employment particulars within 8 weeks of starting work โ covering salary, job description, leave entitlements, notice periods, and disciplinary procedures.
Step 6: Onboarding Compliance
- Register new employee for NSSF within their first pay period
- Add to PAYE payroll schedule with URA
- For expatriates: ensure work permit is in place before employment commences
